CPT-9265 Data Entry & CRM Assistant
REQUIRED SERVICE: Real Estate Business Support VA
REQUESTED EXPERIENCE TIER LEVEL: Junior Level
MIN. HOURS/WEEK: 10 hours/week to begin
SHIFT TIME ZONE: EST
SHIFT HOURS: Flexible – any time between 11 AM and 4 PM
SHIFT DAYS: Monday to Friday, minimum of 3 days per week

We are seeking a detail-oriented Data Entry & CRM Assistant to support our real estate and property management operations through accurate data entry, spreadsheet management, form completion, and CRM system updates. This role ensures our client and property data remains current, organized, and easily accessible for the sales and leasing teams.
RESPONSIBILITIES:
- Input and update client, property, and transaction data into CRM and internal systems
- Complete and manage forms related to listings, contracts, disclosures, and compliance
- Maintain accurate and up-to-date spreadsheets for sales tracking, lead management, and property inventory
- Support the sales team with data needed for listings, showings, and closing documentation
- Ensure data integrity across all systems and assist with audits or reporting as needed
- Generate weekly and monthly reports for management using Excel or CRM tools
- Assist with digital filing, database clean-up, and other administrative support tasks
QUALIFICATIONS:
- 1+ year of experience in data entry, administrative support, or real estate operations
- High attention to detail with excellent organizational skills
- Strong written and verbal communication skills
- Ability to work independently and manage multiple tasks in a deadline-driven environment
- Knowledge of real estate documents, contracts, and general terminology is a plus
- Professional demeanor and ability to maintain confidentiality with sensitive information
APPLICATION SOFTWARE KNOWLEDGEABLE/REQUIRED:
- CRM Systems: KVCORE, Salesforce, Follow Up Boss, HubSpot, or comparable real estate CRM
- Microsoft Office Suite: Strong proficiency in Excel (spreadsheets, data validation, formulas) and Word
- Google Workspace: Google Sheets, Docs, and Drive
- Transaction Management Tools: Dotloop, DocuSign, SkySlope, or similar platforms (preferred)
- Property Management: Software: Buildium
- MLS Platforms: Familiarity with MLS listing systems (optional but a plus)
