The Customer Service Representative (CSR) serves as the primary liaison between customers and warehouse operations. This role ensures accurate communication of customer requirements, timely processing of orders, and resolution of service issues. The CSR supports warehouse efficiency, maintains documentation accuracy, and provides professional, responsive customer support during U.S. Pacific Time business hours.

What you’ll be doing:

Order Management & Customer Support

  • Maintain a positive, professional, and empathetic attitude toward customers at all times.
  • Respond promptly to customer inquiries and requests through phone, email, or other channels.
  • Accurately process customer orders, ensuring correct routing, labeling, documentation (BOLs, invoices), and billing.
  • Communicate clearly with customers and internal departments to ensure order accuracy and on-time completion.
  • Track and follow up on orders, shipments, and delivery confirmations.
  • Handle and resolve customer complaints effectively, escalating as needed to management.
  • Maintain organized records of customer interactions, feedback, and service issues.
  • Provide feedback to management on process improvements and recurring customer concerns.

Inventory & Reporting

  • Verify and coordinate customer inventory status with warehouse staff.
  • Perform and assist with adjustments as needed based on supervisor approval.
  • Audit and monitor key inventory and service processes to ensure accuracy.
  • Maintain reports related to shipping, receiving, billing, and service performance.

Billing & Documentation

  • Prepare and review billing files for accuracy and completeness.
  • Generate and distribute shipping and receiving reports in Excel.
  • Maintain up-to-date records for order processing, receipts, and billing activities.

Cross-Department Coordination

  • Collaborate closely with warehouse operations, transportation, and management teams to ensure smooth workflow and customer satisfaction.
  • Support ad-hoc tasks as assigned to meet customer or operational needs.

Qualifications and Requirements:

  • Minimum 2 years of experience in customer service, preferably within logistics, warehousing, or 3PL environments.
  • Strong communication and problem-solving skills.
  • High attention to detail and strong organizational abilities.
  • Proficient in Microsoft Excel and other MS Office applications.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Familiarity with warehouse management systems (WMS) or order management systems is preferred.
  • Demonstrated ability to work collaboratively with operations and customer-facing teams.
  • Must be available to work and communicate effectively during U.S. Pacific Standard Time (PST) business hours.
